Casefriend Monthly AIntake Speed ContestTerms & Conditions

These Terms & Conditions (“Terms”) govern participation in the Casefriend Monthly AIntake Speed Contest (the “Contest”). By clicking Submit for a Contest entry, you confirm that you have reviewed these Terms, that you are authorized to accept them on behalf of yourself and your firm, and that you (and, if applicable, your firm) agree to be bound by them. These Terms will also be posted on Casefriend’s website and otherwise made reasonably available to users.

1. Definitions

  • Casefriend: Legal Facts, LLC d/b/a Casefriend (“Sponsor”) and its Casefriend software platform (the “Platform”).
  • AIntake: The Platform’s AIntake workflow (formerly referred to in some materials as “Automated Intake”) that processes uploaded documents and/or creates or updates a case file using Casefriend intake automation features.
  • AIntake Log: The in-Platform log/report area where users can view completed AIntake jobs, see timing metrics, view the fastest time-per-page job surfaced in the log, and access the Contest submission feature.
  • Eligible Submission: A submission made by clicking the Submit button in the AIntake Log for a completed AIntake job, containing only the Contest data described in these Terms and recorded by the Platform.
  • Time Spent per Page: The total time recorded for a completed AIntake job divided by the number of pages processed in that job, as calculated exclusively by the Platform.
  • Total Time: The sum of (a) the time the AIntake system spent processing documents for a completed job and (b) the time a user spent validating documents through event validation and document validation for that same completed job.
  • Month: A calendar month ending at 11:59 p.m. in the Arizona time zone on the last calendar day of that month, unless Sponsor states otherwise.

2. Eligibility

To be eligible, an entry must be submitted by an authorized user of an active Casefriend customer account in good standing at the time of submission and at the time any prize or credit is applied. By submitting, the user represents and warrants that the user has authority to act for the user’s firm with respect to these Terms and the receipt and use of any invoice credit.

Employees, officers, and contractors of Sponsor, and members of their immediate households, are not eligible. Sponsor may disqualify any participant, firm, or entry at any time for suspected fraud, abuse, manipulation, ineligibility, violation of these Terms, or any conduct Sponsor determines, in its sole discretion, is inconsistent with the purpose or fair administration of the Contest.

3. How to Enter; Click-Through Acceptance

  • Complete an AIntake job in the Platform.
  • When the job is complete, the Platform will record job metrics, including the time the AIntake system spent processing documents and the time a user spent validating the documents through event validation and document validation. The Platform will calculate the Total Time and derive the Time Spent per Page for that completed job.
  • The fastest Time Spent per Page job may be displayed for users in the AIntake Log. Display in the user interface is informational only and does not guarantee eligibility, winning status, or any prize.
  • To enter the Contest, the user must click the Submit button associated with a completed eligible job in the AIntake Log.
  • At the time of submission, the user must accept these Terms through the click-through mechanism presented in the Platform. No submission is valid unless the required click-through acceptance is completed.
  • Upon a successful submission, an official contest entry e-mail will be sent to ai@casefriend.com, and the user interface will display a notification confirming that the entry was submitted. A confirmation message, notification, or e-mail does not guarantee eligibility or winning status.
  • Entries may be submitted only up to 11:59 p.m. on the last day of the applicable calendar month in Sponsor’s chosen time zone. Late submissions, failed transmissions, interrupted submissions, duplicate submissions, or submissions not properly recorded by the Platform may be rejected in Sponsor’s sole discretion.

4. Measurement and Scoring

The Platform’s recorded metrics are the sole and official measurements for the Contest, and Sponsor is the official timekeeper. For each completed AIntake job, the Platform records the processing time spent by the AIntake system and the validation time spent by the user through event validation and document validation, sums those values into Total Time, and calculates Time Spent per Page by dividing Total Time by the number of pages processed.

Entries are ranked by the lowest valid Time Spent per Page. Sponsor may investigate, reject, adjust, or disregard any entry or result that appears anomalous or unreliable, including due to incomplete jobs, system errors, connectivity issues, misuse, suspected manipulation, non-standard workflows, unusual page sets, abnormal validation patterns, or any circumstance that Sponsor believes could impair fair comparison across entries. Sponsor’s determinations regarding timing, calculations, comparability, and validity are final and binding.

5. Winner Selection; Announcement; Ties

The potential winner for each Month is the eligible entry with the lowest valid Time Spent per Page for that Month, as determined by Sponsor in its sole discretion based on Platform records. The winner will be announced on or before the 5th day of the following month, unless Sponsor reasonably requires more time for review, verification, fraud prevention, technical investigation, or operational reasons.

Ties. In the event of a tie, Sponsor may select the winner based on the earlier job completion timestamp, earlier valid submission timestamp, or another commercially reasonable tie-breaker determined by Sponsor.

Sponsor may also decline to award a winner for any Month if there are no eligible entries, if entries are submitted by only a single firm, or if Sponsor determines in its sole discretion that the number or nature of entries is insufficient to support a fair and meaningful competition, or that awarding a winner would be inappropriate, misleading, or unfair.

6. Prize

Subject to verification, the firm associated with the winning entry will receive a $500 credit on the firm’s invoice for the month following the end of the applicable competition month. The credit is non-transferable, not redeemable for cash, has no cash value except as expressly stated, may not be combined with any other special credit or promotion except as Sponsor permits, and may not reduce an invoice below $0. Any unused portion is forfeited.

Limit one winning credit per firm per Month unless Sponsor states otherwise. If the winning firm is not in good standing, is delinquent, is no longer a customer, has disputed charges, or is otherwise ineligible at the time the credit would be applied, Sponsor may withhold, reduce, substitute, or cancel the credit in its sole discretion.

7. Publicity Consent; Marketing Use

By entering the Contest, each participating firm expressly authorizes Sponsor to use, publish, and reference the winning firm’s name and winning Time Spent per Page in social media, website content, customer communications, presentations, sales materials, and other advertising or promotional materials related to the Contest or Sponsor’s products and services, without additional compensation, notice, or approval, unless prohibited by law.

This publicity consent applies only to the firm name and the winning Time Spent per Page (and related high-level contest status such as “winner” or “fastest time”), and does not authorize disclosure of case information, client information, file names, document contents, personally identifiable information, or user identities unless separately authorized in writing by Sponsor and the affected party.

8. Data Submitted; Privacy

All Contest submissions are intended to be anonymous at the individual level. Only the firm name and the applicable time data for the submitted job are intended to be included in a Contest entry sent to Sponsor. No case information or personally identifiable information is intended to be sent to Sponsor as part of an entry, nor will such information be used by Sponsor in marketing related to the Contest.

Sponsor may use Contest data to administer the Contest, validate results, detect abuse, maintain records, support audits, improve product performance, and communicate about the Contest. Sponsor may publish or reference Contest results in aggregated, comparative, or winner-specific form consistent with these Terms. If additional data is inadvertently transmitted or generated due to technical issues, the user authorizes Sponsor to ignore, redact, delete, or retain that data as reasonably necessary to administer, secure, investigate, or document the Contest and related Platform operations.

9. Fair Play; Prohibited Conduct

Users and firms may not tamper with, reverse engineer, manipulate, automate around, interfere with, or attempt to distort the Platform, AIntake workflow, timing mechanisms, page counts, job configuration, validation behavior, network traffic, submission process, or any other Contest-related process in order to gain an advantage or create misleading results. Sponsor may disqualify any entry that appears to be generated through non-standard means or that Sponsor determines is not representative of ordinary intended use of the Platform. Sponsor may also suspend eligibility, reject entries, or ban future participation by any user or firm suspected of abuse, scripting, artificial workflow optimization, fraudulent conduct, or any other behavior that undermines the integrity of the Contest.

10. Sponsor Rights; Changes; Duration; Cancellation

The Contest will run through December 31, 2026, unless earlier modified, suspended, or canceled by Sponsor. After that date, Sponsor may continue, renew, revise, or discontinue the Contest in its sole discretion.

Sponsor may modify, suspend, or cancel the Contest or these Terms at any time for operational, technical, legal, security, compliance, financial, or business reasons. Sponsor may also modify the scoring methodology, eligibility rules, submission mechanics, display features, deadlines, prize structure, publicity approach, or any other aspect of the Contest at any time.

Sponsor will use commercially reasonable efforts to provide notice of material changes through the Platform, at casefriend.com, or by other reasonable means, but failure to provide notice will not invalidate any change to the fullest extent permitted by law.

11. Disclaimers; Limitation of Liability

The Contest and all related Platform features are provided “as is” and “as available.” Sponsor does not guarantee uninterrupted availability, accurate display of rankings, successful submission delivery, or that any displayed metric, notification, or e-mail will be complete, error-free, or timely.

Sponsor is not responsible for late, lost, incomplete, inaccurate, corrupted, duplicated, misdirected, or failed submissions, or for technical issues including outages, latency, synchronization issues, calculation errors, browser issues, e-mail delivery issues, or third-party service failures that may affect timing, ranking, display, or submission.

To the maximum extent permitted by law, Sponsor will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any lost profits, lost business, lost data, or goodwill arising out of or relating to the Contest, even if advised of the possibility of such damages. Sponsor’s total aggregate liability arising out of or relating to the Contest will not exceed the value of the stated monthly prize for the affected Month.

12. Taxes

The winner and/or the winner’s firm is solely responsible for any taxes, reporting obligations, accounting treatment, or other fees associated with receipt or use of the prize or invoice credit. Sponsor may require completion of applicable tax or payment documentation before applying any credit if required by law or by Sponsor’s internal policies.

13. Miscellaneous

The Contest is void where prohibited or restricted by law. Sponsor’s decisions regarding the Contest, including eligibility, submission validity, timing calculations, ranking, winner selection, disqualification, publication, and prize application, are final and binding.

These Terms are governed by the laws of the state or jurisdiction specified in Sponsor’s applicable customer agreement, without regard to conflict of laws rules.

Questions about the Contest may be directed to Casefriend through the normal support channels associated with the customer account.
